What we collect
To provide accounting, tax, payroll, and advisory services under the engagement agreement, we collect the personal information you or your business provides directly, plus information we generate in the course of that work. Depending on the engagement this typically includes:
- Contact information (name, business name, address, phone, email);
- Government identifiers required for filings (SIN, business number, HST number, WSIB account);
- Financial records (bank and credit-card statements, invoices, receipts, payroll records);
- Correspondence with the CRA, WSIB, and other tax or regulatory authorities on your behalf.
How we use it
We use personal information only for purposes reasonably related to the engagement, including:
- Preparing, filing, and defending tax returns and financial statements;
- Running payroll and remitting source deductions on your behalf;
- Responding to the CRA and other authorities where we are authorized to represent you;
- Communicating with you about the engagement and about deadlines that affect you;
- Meeting our own record-keeping obligations under the Income Tax Act and applicable provincial statutes.
How we protect it
Records are stored on Canadian-hosted systems where reasonably available, with role-based access limited to team members working on the engagement. Physical documents are secured in the office and shredded when destruction is appropriate under applicable retention rules.
Who we share it with
We share personal information only where necessary to deliver the engagement, including with:
- The Canada Revenue Agency, WSIB, and other authorities you have authorized us to correspond with;
- Your other advisors (lawyers, bankers, insurance brokers) only where you have specifically asked us to;
- Software providers that host bookkeeping, payroll, and document-management systems used in the engagement (e.g., QuickBooks Online, Xero, Hubdoc, Dext).
We do not sell personal information to third parties.
How long we keep it
We retain client records for the periods required by the Income Tax Act (currently six years from the end of the last tax year the record relates to) and other applicable retention rules, after which records are securely destroyed unless you have asked us to keep them longer.
Your rights
Under Canadian federal privacy law (PIPEDA) and applicable provincial statutes, you have the right to access and correct the personal information we hold about you. To exercise those rights, email us at info@kwdaccounting.com.

This website is static and does not use tracking cookies or analytics that identify individual visitors. Forms and interactive maps only contact third-party services (Web3Forms / Cloudflare Turnstile / OpenStreetMap) when you submit a form or explicitly load the map, respectively.
